Sponsorship Terms & Conditions

1 Asset Submission & Deadlines

To ensure prominent placement across all platforms, sponsors must provide their high-resolution logos, company descriptions, and website links according to the following schedule:

  • No later than 30 days prior to the event for inclusion in printed materials (such as the event program).
  • No later than 14 days prior to the event for inclusion in digital promotions (such as website placement and scheduled social media posts).

If a sponsor fails to submit their assets by these respective deadlines, they forfeit their right to be included in those specific printed or digital materials. Failure to meet these deadlines does not entitle the sponsor to a refund or discount.

2 Event Logistics & Vendor Guidelines

To maintain a safe, low-pressure, and sensory-friendly environment for our families, sponsor tables are restricted to distributing informational materials and free promotional items. Sponsors are welcome to host entirely free interactive activities, such as giveaway raffles or prize wheel spins.

Active selling or any on-site monetary transactions (including charging for activities or raffle tickets) are strictly prohibited.

Sponsors may bring as many staff members as they have chairs at their table (based on sponsorship tier). Please note that we do not provide tablecloths, so you must bring your own. All tables are 6' x 30".

3 Platinum Speaking Opportunity

The Platinum Sponsorship includes an exclusive opportunity to address the attendees. The speaking time is strictly allotted for 2 to 3 minutes. While we do not require a speech outline to be submitted for prior approval, we ask that all messaging remains family-friendly and aligns with the inclusive tone of the event.

4 Mandatory Wishlist Donation

Sponsors registered are required to donate a minimum of 250 items from the official event wishlist. 250 items refers to at least 250 items, not 250 packs of items.

If a sponsor at these tiers fails to provide the required 250 items, they will lose their slot at the event. Furthermore, their initial sponsorship payment will be permanently converted into a tax-deductible donation to the organization and will not be refunded.

5 Cancellation & Refund Policy

All sponsorship purchases are final and non-refundable. In the unlikely event that the Back to School event is canceled or postponed due to severe weather or unforeseen circumstances, sponsors may elect to either:

  • Convert their full sponsorship fee into a general tax-deductible donation to the organization, or
  • Roll their sponsorship tier and associated benefits over to a future, comparable event.

6 Right of Refusal

We reserve the right to review and decline any sponsorship at our sole discretion to ensure alignment with our organization's mission, values, and the sensory-friendly nature of our events. In the event that a sponsorship is declined by our organization, the business will be notified immediately and will receive a full refund of their sponsorship fee.
